How do I add my team?

Team and Practice subscriptions come with a shared workspace (an "organisation") that colleagues, clients and consultants can join. This walks through inviting people and what each role can do.

Prerequisites

You need a Team or Practice subscription first — see Plans and what they unlock. After purchase you'll get an email with a link to claim the workspace: sign in with the email address you paid with (creating an account if you don't have one yet) to claim the owner seat.

Inviting someone

  1. Go to AccountOrganisation.
  2. Under Invite someone, enter their email address and choose a role (see below).
  3. Select Send invitation.

They'll receive an email invitation. Invitations expire after 7 days — if one lapses, send it again from the same form; a repeat invite to the same address re-sends it.

If they don't have an account yet, the invitation link takes them through sign-in and back to accept it automatically — a single click either way.

Roles

RoleAccessUses a seat?
OwnerFull access, plus billing, inviting/removing people, branding, and API keys (Practice)Yes
MemberFull access to the shared board and sitesYes
GuestRead and comment on what the practice shares — no editingNo — free, up to 25 per workspace

Guests are the right choice for clients and outside consultants who need visibility but shouldn't count against your seat limit. A Team workspace has 5 seats; Practice has 15 — both flat prices, whether you fill every seat or not. If every seat is in use, you can still invite guests (a workspace can hold up to 25 of them).

Seats stay on your practice's email domain

Owner and member invitations must use an address on your practice's own email domain (the domain your existing seat-holders sign in with). This is deliberate: seats are the licensed thing, and a seat handed to an outside personal address is a licence leaving the practice that paid for it. Freelancers, clients and consultants belong on guest access, which is free and works with any email address. If your practice genuinely operates on more than one domain (after a merger, say), contact support and we'll add it.

Accepting an invitation

The invited person opens the link in the email, signs in (or creates an account), and is added straight to the workspace with the role you chose. An invitation accepted as an owner is how a purchased subscription actually becomes a claimed workspace — this only happens through the purchase flow, never through an ordinary invite.

Removing someone

From AccountOrganisation, an owner can remove any member or guest. This frees their seat immediately. Anyone (including a member) can also remove themselves — leaving the organisation.
