Sharing reports with clients

There are two ways to share a report with someone outside your workspace: a single hosted report link, and (on Team and Practice) a client portal covering several sites at once.

Every Full Survey Report gets a hosted, shareable page with a QR code as soon as it's generated — see Generating a report. This is the simplest way to send one result to one person: no account needed on either end, just a link.

Client portals (Team and Practice)

A client portal is a named, read-only view of a set of your sites — useful when a client or colleague needs ongoing visibility into several sites your practice is tracking, not just one report.

Creating a portal

  1. From your saved sites, select the sites you want to share.
  2. Create a portal link, give it a name, and (optionally) set an expiry.
  3. Share the resulting link — no account or sign-in is required to view it.

The portal shows the sites you chose, their current status and stage, and links through to their reports. It updates live as your practice works on those sites, so a client always sees the current picture rather than a snapshot from the day you sent the link.

Access is read-only, and revocable

A portal link is anonymous and read-only by default — a client viewing it cannot see anything outside the sites you chose, and cannot make changes. Revoking a link takes effect immediately: the next attempt to view it 404s, whether it's expired, revoked, or was never valid. If you've invited the client as a guest on your workspace (see How do I add my team?), they can also comment on sites you've shared — read access never requires an account, but commenting does, so authorship is real.

White-label (Practice only)

By default, every portal carries a small "Produced with Planning Constraints" credit in the footer. On Practice, this credit is removed from portals and from the reports clients read through them — your logo, practice name and accent colour appear instead (set up under Branding your reports). The credit still appears on downloadable PDF and Word files at every tier, and data attributions (the licence-required source credits) are never removed, anywhere, regardless of tier.

Which should I use?

  • Sending one finished report to one person → a hosted report link.
  • Giving a client or colleague ongoing visibility into several live sites → a client portal (Team or Practice).
